# A packed Saturday: how to serve several families at once with the virtual model

Every sales room has a Saturday like this: a launch, a long weekend or a promotion that worked better than expected. At eleven in the morning there are five families and two reps. One waits standing by the scale model, another looks at their phone and the third leaves saying they will come back another day. Most do not.

## Where the sale is lost on a busy day

On a normal day, the rep greets, presents, shows and closes with one family. On a busy day, the families who arrive later wait, and waiting has three costs: enthusiasm drops, the family starts comparing with the project they saw before and, after a few minutes, someone suggests leaving. The presentation may be excellent; the problem is that it never gets started.

The answer is not hiring more reps for two Saturdays a month. It is changing how you serve people on those days, relying on something the physical sales room did not have: a model of the project that people can explore on their own.

## Four ways to serve several families at once

### 1. The self-guided tour station

A touchscreen or a large tablet, in kiosk mode, with the tour open on the overview of the project. The family that is waiting explores on their own: they pick a unit type, go inside and look at the view from the floor they care about. When the rep arrives, they already know what they like and the conversation starts further along. ### 2. The group presentation at fixed times

On high-traffic days, one rep presents the project on the big screen every hour on the hour, for fifteen minutes, to all the families in the room: the surroundings, the amenities, the unit types and the view from the upper floors. Afterward, each family moves to a table with the questions that are no longer general. One rep does the introductory work of five.

### 3. A tablet for each rep

If everything is shown on a single screen, only one family can be served at a time. With the same tour on a tablet, each rep serves at their own table: they show the unit type, change the finishes and compare the view from two floors without waiting their turn. The big screen is kept for the group presentations.

### 4. The video call for anyone who cannot be served

There will always be a family that cannot wait. That family does not have to leave empty-handed: they leave with the tour link on their WhatsApp and a video call booked for Monday, in which the rep shows them the same apartment they saw at the station. The times are an example; what matters is that group presentations happen at fixed times and are announced at the entrance, so the family that arrives at 11:40 knows the next one starts in twenty minutes.

## The role of the host

On the busiest days it pays to have someone who does not sell: they greet people, record each family's name and phone number, ask which unit type they are interested in, take them to the tour station and let them know when the next presentation starts. It looks like an extra cost; in practice it keeps reps from interrupting each other and keeps anyone from being left unattended.

The host also assigns families to reps using a clear rule. Without one, reps compete for the families that look most decided and the others wait longer than they should.

## Record what happened

A busy day generates many contacts and little data if nobody writes it down. The minimum for each family: name, phone number, the unit type they looked at, whether they saw the presentation, whether they spoke with a rep and what the next step is. With that, on Monday the team knows whom to call first.
