Real estate leads: how to get prospects who actually buy

A familiar scene at many developers: this month's campaign brings in a hundred forms, the team manages to call thirty, ten answer and two make it to the sales room. In the end someone concludes that the leads were bad. Sometimes they were. Just as often they went cold while they waited, or nobody gave them a reason to stay interested.

A real estate lead is someone who left their details because a project caught their interest. They are not a buyer yet. Whether they become one depends a lot on what happens in the first few hours.

Ask for less, but the right things

A long form scares people off, and one that is too short leaves you calling blind. The middle ground is usually name, phone, unit type of interest and buying timeline. With those four things the agent knows who they are talking to before dialing.

If the project qualifies for subsidies, it is also worth asking whether the person has already checked their mortgage or subsidy eligibility. It avoids calls where, after twenty minutes, it turns out the buyer cannot access the project.

Respond within the first hour

In 2011, Harvard Business Review published a study of more than a million online sales inquiries. Companies that responded within the first hour were nearly seven times more likely to have a meaningful conversation than those that responded an hour later, and more than sixty times more likely than those that took a day. Years have passed, but the logic has not changed: someone asking for information is comparing, and they stay with whoever answers first.

In practice, that means deciding who handles leads at night and on weekends, and having a useful first reply ready. An automatic message that only says "we will be in touch soon" does not count.

Make the first reply show the project

A lead who gets a link on WhatsApp to walk through their unit type in 3D has something to do while waiting for the call. And what they do is information for the agent: someone who spent three minutes in the apartment and looked at the view from the tenth floor is much closer to buying than someone who never opened it.

If you measure what happens on the project page, for example with Google Analytics or Microsoft Clarity, you can see which unit types get the most views and where people drop off. That data helps prioritize calls and adjust the ads. We cover it in how to sell apartments on WhatsApp.

Qualify with four questions

  • Budget. What price range are they looking in?
  • How they will pay. Do they have a pre-approved mortgage, severance savings, a subsidy or their own funds?
  • Timeline. When do they need the home?
  • Who decides. Is there someone else who has to see the project before deciding?

The last question is the one most often forgotten and the one that saves the most sales. If a partner or parents are part of the decision, send them the tour right away or book a video call with everyone.

Nurture the ones who are not ready

Some leads will say they are buying in six months. You do not want to lose them, but you should not flood them with identical messages either. It works better to write when there is something new to tell: a stage opening, construction progress, a unit type selling out, a new project video. Each message should come with a link to see something, not just to "check if you are still interested".

The numbers worth watching

  • Cost per lead by channel.
  • Contact rate: out of every ten leads, how many you actually spoke to.
  • Booking rate: how many booked a visit or a video call.
  • Cost per reservation by channel, the number that really matters.
